Collecting references is an integral part of the recruitment process and it is now possible to collect these references automatically through the system.

If this functionality is enabled for a customer, the candidates will be asked to provide details of these references during the job application. Once collected, the system will automatically initiate the process of collecting the required information from the referees by sending an email to the relevant referees asking them to complete the reference. Once submitted by the referee, HiringBoss Enterprise will be automatically updated with the relevant reference information.


Reference Process

If enabled, there is a new section in the application form where the candidate should enter the following information:

  •  Name of the Referee
  •  Telephone number of the Referee
  •  Email address of the Referee
  •  Job Title of the Referee
  •  The Employer of the Referee
  •  The relationship that the Referee has to the candidate


 





Once the form has been submitted, an email will be sent to each of the referees provided by the candidate. The email will contain a reference template document as well as a link that will direct the referee to a web page where they can upload and submit the reference document.





Once the Referee(s) have submitted their feedback, the information they provided can be found on the new ‘Reference Management’ tab of the candidate profile.



In addition, once the referral documents have been provided, the candidate and the referrer will receive an email confirming that the reference has been received by the customer.



Reference Management Set-Up


There are two elements that need to be set up by a super user in order for Reference Management to be used:

  1. The form/table that the candidate completes with their job application
  2. The e-mail templates related to Reference Management

As a super user go to Admin à Customize. The resulting page will show a new ‘Reference Management’ tab. This is where it is possible to set the fields that the candidate will complete as part of their application.





The e-mail templates related to Reference Management


There are two new email templates that are now available to be used with the Reference Management functionality:


  1. The email that will be sent to the Referee(s), requesting them to complete the reference.
  2. The email that will be sent to the candidate and the referee, confirming that the reference has been submitted and received by the company.


As a super user go to Admin à Email administration. The resulting page will show a new ‘Reference Related Emails’ tab. This is where the content of the two emails can be added. The management of these email templates works exactly the same as the other email templates in the system.
